Scope of Policy
E3 Energy limited (E3 Energy) is committed to protecting the privacy of our clients and their associates and as well as E3 Energy employees.
This privacy notice is a public declaration of how E3 Energy applies the Data Protection Principles and Rights afforded to individuals by the General Data Protection Regulations (GDPR) to the personal data that we process. E3 Energy is committed to complying with the principles relating to the processing of personal data under GDPR.
This Privacy and Data Protection Policy sets out the principles of data privacy adopted and applied within E3 Energy Limited.
This Privacy Policy covers all Personal Data in any form, including but not limited to electronic data, paper documents and disks and all types of processing, whether manual or automated that is under E3 Energy possession or control. This will include information held about E3 Energy’s employees, consultants, customers, suppliers and business contacts or any other third parties who receives personal data from E3 Energy.
Business Partners who work alongside E3 Energy are expected to put in place and comply with standards of privacy compliance equal or equivalent to those set out in this Privacy Policy.
E3 Energy retains certain information about its employees, consultants, customers, suppliers and business contacts. To be compliant with GDPR, information is collected lawfully and used fairly, stored safely and not disclosed to any other person unlawfully. To do this, the company complies with the Data Protection Principles.

What type of personal information do we collect?
The type and amount of information we collect depends on why you are obtaining it.
The information we collect and retain when you make an enquiry may include your name, e-mail address, postal address and telephone number or information required by our sub consultant / contractor certification process. Essential employee information is collected and retained to enable E3 Energy to comply with its statutory and legal obligations, in addition to ensuring the wellbeing and safety of its workforce. All information is treated as confidential and stored only by HR.

We will use your personal information in a number of ways which reflect the legal basis applying to processing your data. These may include:
1. Providing you with the information or services you have requested.

Our legal basis for processing your information

Where you have provided information to us for the purposes of requesting information or requesting that we carry out a service for you, or for our pre qualifying questionnaires, we will proceed on the basis that you have given consent to us using the information for that purpose, based on the way that you provided the information to us. You may withdraw consent at any time by e-mailing us compliance@e3energy.co.uk This will not affect the lawfulness of processing of your information prior to your withdrawal of consent being received and actioned.
2. It is necessary for us to hold and use your information so that we can carry out our obligations under a contract entered into with you or to take steps you ask us to prior to entering into a contract.
3. It is necessary to comply with our legal, tax or insurance obligations.
4. Where the purpose of our processing is the provision of information or services to you, we may also rely on the fact that it is necessary for your legitimate interests that we provide the information or service requested, and given that you have made the request, would presume that there is no prejudice to you in our fulfilling your request.
Responsibilities
All staff who work for or with E3 Energy have responsibility for ensuring data is collected, stored and handled in a safe secure and appropriate manner if it requires them to do so. Personal and confidential data will be processed by our Data Protection Officer.
Data Protection Officer
E3 Energy has an appointed Data Protection Officer who will endeavour to ensure all personal data is processed in compliance with the GDPR and the Data Protection Act 2018.
Data Storage and keeping it safe
Data stored electronically must be protected from unauthorised access, accidental deletion and malicious hacking attempts. E3 Energy has a physical fire wall and VPN access to protect our electronic data. We are committed to protecting all Personal Data we collect and use. To that end, we take all reasonable precautions to prevent the loss, misuse or alteration of your Personal Data held within our data repositories.
We understand the importance of security of your personal information and take appropriate steps to safeguard it. We ensure only authorised staff manage your personal information. No data transmission over the internet can however be guaranteed to be 100% secure. While we strive to safeguard your information, we cannot guarantee the security of any information you provide online and you do this at your own risk.
Data Accuracy
E3 Energy takes all reasonable steps to ensure data is kept accurate and up to date. The more important it is that the personal data is accurate, the greater the effort staff must put in to ensure its accuracy.

All employees, consultants, customers, suppliers and business contacts or any other third parties are entitled to:

Right of access
Data subjects have the right of access to information held by E3 Energy, if an individual contacts the company requesting this information, this is called "Subject Access Request".
Subject access request from individuals should be made by email, addressed to compliance@e3energy.co.uk. E3 Energy aims to comply with requests for access to information within a calendar month.
The disclosure of data for other reasons
In certain circumstances, the Data Protection Act allows personal data to be disclosed to government and law enforcement agencies without the consent of the data subject.
